Seabed has an integrated Safety Management System in Lotus Notes, using UniSea Software. This solution includes:

The Document Management System makes sure that all users on shore and offshore are always up to date with new revisions of procedures and checklists. It automatically sends the documents to all locations without delay, making all locations up to date within 30 minutes from approval. Document history is also taken care of, making it possible to keep track of changes and who’s done it.

Seabed AS and the Marine Management company Seabed Shipping AS have live read access to  each other’s QA database that make the cooperation between the companies easier and more efficient.

The Incident reporting solution includes the following reports:

Near miss, Non-Conformity, Safety Observation, Property Damage, Personnel injuries, Spill, Experience Transfer and Experience Feedback.

The reports are followed up and actions are being delegated to personnel on the vessel or on Seabed Shipping’s office. The system also contains a meeting solution where minutes of meetings are being archived, and issues that need to be followed up are delegated to users in the office or on board the vessel.

The audit solution includes internal and external audits and vetting. Each finding can be individual follow-up by personnel on vessel or office. This helps us keep track on were we fail and make it easier for us to improve.

The risk Assessment solution contains Risk Assessment, Safe Job Analyses and Toolbox talk. This solution helps us to track the risk within project and ordinary maintenance.

The forms & Checklist solution archive completed checklists and forms, and make them available for all users. In the future we intend also to put in our most used checklist as Note documents, to make the filing and analyze even better.

On top of all this solutions there is reporting solution called “Intelliprint Dashboard”.

This makes it possible to make charts and tables of all data in all Notes applications. When charts and tables is made they are stored within the applications they are made. When opening a pre made analysis it will show live updated data, even if there is no internet connection.

The Certificate solution stores all certificates and documents with a limit date. When documents are stored, all have users have access to them, even whiteout an working internet connection. The solution also makes sure to send a mail warning to the person responsible for the certificate to remind when an update is needed. This warning limit is set separate for each certificate.

Vessel Assurance Matrix. To make sure our customers have an easy access to our documentation we have made a web page where customers may login and see documents and procedures relevant for them. The demands from Seabed internally and the customer is described and there is verification for showing compliance. This verification has links direct in to our UniSea QA application or the UniSea Certificate deatabase. Each night the application is automatically updated with any changes done in the QA or Certificate solution.

This application makes it easy for Seabed and the customers to have access to all required documentation at all times.
